Direct Fireplaces manages a rapidly expanding catalogue of fireplaces, stoves, and heating appliances. As new models and product variations are released by manufacturers, their team regularly receives technical documents such as product catalogues, specification sheets, and data tables.
These documents contain important product details that must be entered into their e-commerce system so the products can be listed and sold online.
However, most of this information arrives in unstructured formats such as PDFs, Word documents, or images. This means the team has traditionally had to read each document and manually enter the specifications into the website.
Logic Replace LLC was tasked to design a smarter way to handle this process using AI.
The Problem
Entering product specifications manually is extremely time-consuming. A single fireplace model can contain many technical attributes such as dimensions, materials, heat output, efficiency ratings, and several product variations.
When multiplied across hundreds of models and new releases every month, this process quickly becomes a significant workload.
The challenges included:
- Product data arriving in multiple document formats
- Large volumes of specifications to be processed regularly
- Manual data entry taking many hours each month
- Increased risk of human error during transcription
Delays in getting new products published on the e-commerce platform
Direct Fireplaces needed a system that could interpret these documents and convert them into structured data automatically.
What We Did
Logic Replace designed and developed an AI-powered product data extraction portal specifically tailored for Direct Fireplaces’ workflow.
The system allows their team to upload product catalogues and datasheets directly into a secure processing environment. The portal supports several common document formats including PDF, Word, CSV, and image files up to 50MB in size.
Once uploaded, the system uses large language models combined with engineered prompts to analyse the document and understand its structure. It identifies important product information and extracts key data points such as:
- SKUs
- Dimensions
- Materials
- Heat output
- Efficiency ratings
- Product attributes and specifications
The system then validates the extracted information and converts it into a clean, structured CSV file ready for direct import into the Direct Fireplaces e-commerce platform.
For security and efficiency, uploaded documents are automatically removed after processing.
The Result
This automation significantly reduces the amount of manual work required to process product specifications.
Instead of spending hours reading documents and entering data line by line, the Direct Fireplaces team can now process large catalogues in minutes.
The new system allows them to:
- Save substantial time each month
- Reduce errors in product listings
- Publish new products faster
- Handle larger catalogues without increasing staff workload
- Receive structured product data ready for immediate use
By introducing AI into the workflow, Direct Fireplaces is able to scale its catalogue management efficiently while maintaining accuracy and consistency across its product listings.
