GP ROSTER PORTAL DEVELOPMENT
PROJECT BRIEFING:
SSP Health is the foremost provider of NHS general practitioner (GP) primary care clinics in NW England.
Many full-time, self-employed and locum GPS and clinicians provide the service.
Service level agreements govern the provision of primary care, dictating a minimum number of appointments in morning and afternoon sessions and extra sessions.
SSP Health needs to schedule GPs and clinicians for all 40 practices, ensuring the appointment numbers meet the target while minimising the cost of service provision.
GPs all have individual hourly rates and differing availability, which means rostering GPs and clinicians is both an art and a science.
SSP needed a custom, easy-to-use portal to allow rostering for future dates. The portal should show the impacts of appointments and budgetary costs. They also needed high-level management reports to show the short-term costs and for the roster tool to facilitate minimising costs.
WHAT WE DID:
Logic Replace spent time meeting with the small team performing the rostering to fully understand the process end-to-end.
Logic Replace created a secure custom roster tool that has the following functions:
- Settings to enable baseline data to be managed
- Clinicians’ costs settings – to set the future costs
- Holiday settings – to determine public holiday dates
- Practice budget settings – set the budget targets for each future month
- Practice appointments needed – allows entering the target numbers
- Clinicians’ manager – a database of all clinicians
- Agencies manager – lists locum type agencies
- Practices manager – defines every practice
The rostering process is performed in the central part of the tool:
- GP schedules manager—here, the users can allocate GPs to sessions for practice dates and then see the impact on the appointment target and costs. By selecting different GPs, the appointments and expenses can be optimised.
- GP schedules summary – This shows a calendar-style overview of one practice for one month.
- Budget reports – Shows the top-level costs vs budget target and appointments vs. appointment target for a date range for one or more practices.
Remote access to the system’s data is also provided so SSP’s finance team can query data using BI.
The portal’s user interface is a secure, web-based solution that is easy to use. Due to the sensitive nature of the data in the roster tool, we cannot show screenshots.
The roster portal is used every day and is helping SSP better meet its appointment targets and significantly reduce costs.
