Car Wash Booking Platform with Admin

Customer and Washer Apps

PARK & WASH

PROJECT BRIEFING:

The client required a sophisticated, user-friendly platform to manage a mobile car wash service called Park&Wash.

The service is to be rolled out across the USA and operated across various shopping centres.

The system needed to support three user groups:

  • Administrators
  • Customers
  • Agents/Washers.
Park & Wash: End-to-End Booking & Admin System

Each user type has its distinct workflows and access levels. The platform also had to support flexible appointment scheduling, QR code integration, SMS communication, and a seamless booking-to-payment experience using Square.

The project’s core goal was to provide a contactless, eco-friendly car wash experience booked directly via QR code or a web interface.

Park&Wash emphasised critical requirements being:

  • Mobile responsiveness
  • Automated customer
  • Washer notifications

Also, dynamic booking logic is tailored to vehicle type, location, and real-time availability.

WHAT WE DID:

Developed a Modular Admin System

Built on a PHP/Linux-hosted environment, the admin dashboard includes tools for managing washers, cities, shopping centres, vehicle types, customers, and bookings. Features include:

    • Assigning agents/washers to one or multiple centres
    • Calendar-based availability settings
    • QR code generation for each shopping centre
    • SMS template management
    • Vehicle and pricing configuration
    • Customer repeat booking detection based on license plate or mobile number

Created a Smart Booking Workflow

Logic Replace designed a responsive customer booking flow that is accessible via city-based selection or QR code. Core features:

  • Step-by-step booking with options to select city, shopping centre, vehicle type, make, and colour
  • “Wash Now” logic: if the next available slot is within 5 minutes, display immediate booking
  • Dynamic appointment durations by vehicle type (car, SUV, van/truck) and editable by the admin
  • Pre-filled returning customer info based on license plate
  • SMS confirmation with estimated wash completion time
  • Secure payment pre-authorisation via Square; the charge is only finalised upon service confirmation.

Washer Web App Development

A lightweight mobile web app allows washers to:

  • Log in and receive real-time booking alerts
  • View detailed vehicle info and parking location
  • Trigger one of three completion statuses:
    • All Clean (triggers SMS and confirms payment)
    • Unable to locate (triggers SMS, cancels charge)
    • Vehicle Too Dirty (triggers SMS, cancels charge)
  • Notifications are sent only to washers assigned to that period and centre
  • Cancelled appointments immediately reopen the time slot for new bookings

Built a Feedback Loop

Integrated post-wash feedback collection via SMS with a 5-star review and comments form. All reviews are stored within the system for future reporting and customer tracking.

Tested Across All Interfaces

Used BrowserStack to perform multi-device and multi-browser testing on the customer site, the washer app, and the admin dashboard to ensure seamless operation.

Sales Report

The admin interface includes a dedicated Sales Report section designed to help the business monitor performance and make data-driven decisions. It consists of:

  • Overall Report
    A weekly performance table aggregating data across all shopping centers, with a 12-week historical view of key metrics.
  • By Site Report
    Individual weekly sales reports for each shopping center, also tracking 12 weeks of history to identify trends and performance variances by location.
  • By Agent Report
    A performance table showing weekly sales figures by washer/agent, with an 8-week history, ideal for staff evaluation and incentive tracking.

Each report provides a clear and easy-to-interpret layout to support management in evaluating trends, setting goals, and optimizing resources.
